Make Sure Your Software Keeps
You Compliant
Not only should fleet management software be able to save
time, money and improve efficiency for fleet operations, it
should also be able to aid company compliance with new legislative
requirements. One example is your Duty of Care.
For compliance, audit trails are essential and fleet management
systems can assist with the ability to monitor and track the
following aspects:
Employee owned cars
Software can monitor employee owned, as well as company owned
vehicles and keep track of:
- Insurance certificate inspection, date of inspection and
whether business use is included in the insurance
- Expiry dates for Registration, road tax and any possible
safety inspection dates
- Insurance category ratings
Vehicle Safety Checks
Vehicle safety checks can be monitored and inspection reminders
be sent out automatically via email or mail. Outstanding reminders
can be easily highlighted and then chased up.
Drivers Hours
Easily monitor and measure the total hours driven by employees:
- Departure and arrival time
- Working, driving and rest time
- Reports instantly highlight those drivers who are driving
over the recommended limits
Vehicle Safety
The vehicle file can hold key safety features of each vehicle.
Reports can also be produced comparing vehicle safety with
the number of accidents per vehicle.
Insurance Categories
For each vehicle, the relevant insurance category can be recorded
so that companies can limit categories to certain age groups.
Eye Tests
These can be recorded for each employee of when they were
tested, the results and when the next one is due.
Driver Training and Appraisal
Details on their appraisal schedule, last training date, date
of next training/appraisal and the training outcome (i.e.
pass, fail) along with any necessary follow up actions can
be held for each driver.
Heath Check and Screening
Requests to all drivers to fill in health check sheets can
be initiated by the software and sent out automatically via
email or mail and completed sheets stored electronically.
Driver Licence Inspections
Details of dates of when they were last viewed and any points
or fines can be recorded along with reminders of when the
next inspection is due. It can record driver licence categories
and scanned copies can be stored on-line.
Car User’s Handbook
Details can be recorded on when the handbook was signed by
an employed driver and any possible spouse/partner with permission
to drive a company vehicle. Signed documents can be scanned
and stored electronically too.
Resonance and it technology partner Chevin, as leading fleet
management software providers ensure that their software is
able to carry out all of the above and hence provide their
customers with a helpful and workable solution to legislation
requirements. An example from the UK is the new Corporate
Manslaughter legislation. “We have found the Corporate Manslaughter
legislation to be such an important issue which raises a lot
of questions and can have devastating consequences,” said
Ashley Sowerby, Managing Director of Chevin Fleet Solutions.
“Therefore we invested time and money to find out exactly
what the legislation involved, updated our software accordingly
and hence can offer our customers greater peace of mind.”
