Fleet Management - Introducing new Internal Controls can reduce Costs

Accident/Insurance Management - For insurance procedures claim notification can be tracked to the insurer. By increasing the ability to monitor types of claims and who incurs them an entity can increase its control. This can in turn lead to the identification of problem areas that increase insurance premiums.

Fuel Usage - a fleet system needs to be able to identify and report unusual vehicle fuel use. Our system enables reports of fuel usage to be quickly produced and actioned reducing the extent to which staff may misuse fuel purchasing processes.

Reporting - by using the reporting tools provided, FleetWave can provide you with any information you need on the fleet. This could include:

  • Cost per kilometer / bus - vehicle / depot reporting
  • Driver analysis, tracking fines, ensuring drivers have proper licence requirements
  • Accident analysis
  • Repair Analysis
  • Maintenance Control

Preventative Maintenance tracking is a mandatory function of any good Fleet Management software. FleetWave solutions provide a workflow for Fleet Management departments to organise their Preventative Maintenance Schedule to minimise/prevent breakdowns and failures.

Vehicle Pooling - Many Organisations with large fleets do not track odometer readings accurately. This is particlarly useful where leases may incur penalties when certain mileage limits are exceeded. A Pooling module used effectively with detailed fleet information should identify low mileage vehicles and place those vehicles as needed in locations of high usage to reduce penalties on other vehciles and maximise usage of all vehicles within the fleet.

Segregation of duties and the introduction of clear procedures - our solutions encourage clear lines of responsibility, procedures, and methods of communication for information to be compiled and made available to decision makers. This can be seen in the modular design (see modules below) and the ability to allow different users access to information pertinant to them, while restricting access to other information.

Main Modules

  • Vehicles - holds vehicle and equipment details on a user definable database that you can customise to suit your operation.
  • Repairs & Maintenance – Records all service and maintenance data, with a user definable job card making light work of the data input.
  • Fuel - Holds details of fuel issues, fuel cards, etc. Reports include exception and analysis features.
  • Diary – A task reminder system and wide selection of reports and standard letters.
  • Stock Control - A fully featured 'first in, first out' stock system. Links with the job card section for issuing stock items. Several reports included covering all aspects of stock control.
  • Drivers & Taxable Benefits - Holds full driver details (including licence inspections, training record, etc.), details of business mileage, and a vehicle allocation history (i.e., who has been driving which vehicles, and when).
  • Accidents - holds comprehensive accident details (in a user definable screen) which supports multiple third parties. Reports include summary, analysis and comparisons.
  • Reporting – Crystal Reports is used for the design and production of reports. This very powerful, industry standard, reporting engine enables you to create a wide selection of report types, including analysis, drill-down, comparison, etc.
  • Utilities - This module contains all of the configuration options for FleetWave. Almost every aspect of the system can be customised without the need for costly reprogramming.
